What changes for a PI firm

    When a settlement arrives, suss. matches it to the matter, checks every lien and cost on file against the ledger, and drafts the settlement statement with the client's net. The attorney reviews, the signatory approves, and the disbursement is recorded with who did what.

  • Liens are tracked from intake, not discovered at disbursement.

    Medical provider liens, Medicare and Medicaid conditional payments, health plan reimbursement claims, and letters of protection are logged against the matter when they appear, so the number on the settlement statement is the number the firm has been carrying all along.

  • Advanced costs never get lost.

    Filing fees, records, experts, and depositions paid from operating are posted to the matter as they happen, so cost recovery at settlement is complete and the client's statement shows every dollar.

How a PI firm uses suss.

Each morning the office manager opens suss. and sees what needs a person: a settlement ready for statement review, a lien that arrived overnight with a new amount, a retainer or cost advance that needs a decision. Everything else, the bank matching, the ledger updates, the daily three-way reconciliation, happened overnight and is already recorded.

At settlement, the attorney sees the statement built from the matter's own ledger: gross recovery, fees, costs advanced, liens by lienholder, net to client. Approving it creates the disbursements. Signing them is a separate step for a named signatory, on their own device.

At month end there is no close to do. The close is the last thirty days of daily closes, tied, with the client ledgers, book and bank balance agreeing to the penny.

Definitions

IOLTA (Interest on Lawyers' Trust Accounts)
the pooled trust account where a firm holds client funds, including settlement proceeds, until they are disbursed.
Three-way reconciliation
the check that the bank statement balance, the firm's trust book balance, and the total of all client ledger balances agree on the same date.
Client ledger
the running record of every deposit and disbursement of trust funds for one client or matter.
Settlement statement
the document showing gross recovery, attorney fees, costs, liens and the net paid to the client.
Lien
a claim against settlement proceeds by a medical provider, insurer, or government program (such as Medicare) that must be resolved before the client is paid.

FAQ

Does suss. move money?

No. suss. connects to bank accounts read-only. It prepares and records disbursements; a named person at the firm approves and executes them.

Does suss. replace our practice management system?

No. It reads matters, contacts and time from Clio, MyCase, Filevine or CasePeer and keeps the accounting in sync with them.

How does suss. handle Medicare liens?

suss. tracks the conditional payment amounts and correspondence against the matter so the current figure is on the settlement statement. Resolving the lien with Medicare remains the firm's work; suss. keeps the record.

Is suss. compliant with our state bar's trust accounting rules?

suss. runs the trust accounting checks required by the state bar rules for the states you select, including daily three-way reconciliation and client ledger maintenance, and keeps the records those rules require.
